Villa Lena’s pink nineteenth-century villa is the centerpiece of an estate that spreads across gardens, pools, a restaurant, restored farm buildings and guest accommodation. Its artist-residency foundation and food garden give it a different character from a formal villa hotel. The appeal is spending several days here together, with a wedding dinner at the center of the stay rather than the only reason for it.

The relaxed atmosphere should not be confused with a small budget. The 2027 three-night full-privatization option for June 28 through September 12 is €56,450 before event catering. With a welcome pizza party, wedding aperitivo and dinner, three-hour wedding bar, farewell pasta party and starting flowers for 75 catered guests, the example reaches €99,725. Planning, photography, entertainment and much of the production still sit on top.

Villa Lena is strongest when the whole stay matters: pizza on the first evening, time around the pool, a proper wedding dinner, then pasta together the next day. The appeal is the change of pace between those gatherings. You are not paying for one beautiful room and trying to invent a weekend around it.

Its identity is also more distinctive than the phrase “Tuscan wedding villa” suggests. There is an actual artist-residency foundation, a working food garden and accommodation spread through restored rural buildings. For a couple who like art, generous food and a party that does not feel overly formal, those details are a better reason to book than the color of the façade alone.

The food pricing is a practical strength. The 75-person example specifies each event’s menu, drinks and bar duration. The three event meals and wedding bar total €40,275, so a substantial part of the weekend can be priced from the outset. The catch is that the buyout, those services and starting flowers already cost €99,725 before the planner, photographer or DJ has been booked.

Our preferred scale is around 60–80 guests, with suitable rooms and a comfortable wet-weather layout. This keeps the estate stay central to the wedding without pushing straight to the 130-seat dinner ceiling. A smaller guest list does not, however, remove the fixed rental cost.

The main logistical compromise is the spread of the accommodation. Renacchi is about a ten-minute walk from the main facilities; the country houses are around a twenty-minute walk or short drive away. That gives independent friends and families some privacy, but makes room allocation and late-night transport important for elderly relatives, young children and anyone who would rather not walk back after dancing.

The other limit is the indoor plan. Villa Lena has covered alternatives, but its overall dinner capacity is not a confirmed indoor capacity. For 100–130 guests, the choice depends much more heavily on the covered layout and overflow accommodation.

We would look elsewhere for identical en-suite hotel rooms throughout, a formal palace-hotel experience or the same three-day format comfortably below €100,000. Book Villa Lena for the estate weekend, the food and the creative atmosphere. Its strengths are most valuable when guests have time to enjoy them.

The three-night summer example

For the June 28–September 12 period, the 2027 full-privatization option is €56,450 for three nights. The event costs below are for 75 catered guests, with flowers at their €3,000 starting level.

The €56,450 is a stay total, not a nightly price. The €99,725 covers the listed combination of accommodation, events and starting flowers, not every cost of producing the wedding. The catered events and floral design should be priced to the celebration you choose; this example does not establish that every listed service is compulsory.

The most useful comparison with another venue is the same combination of nights, rooms, events and service hours. A lower rental can stop looking lower once three days of catering and accommodation are added. Equally, a higher rental may include more furniture, staffing or production.

Costs outside the example

Separate costs include planning, photography and video, performers, furniture and tabletop upgrades, additional lighting, transport, ceremony costs, beauty services and stationery. There is also any floral work above the starting allowance, activities, meals outside the specified events and drinks beyond the included service windows. The detailed budget below allows for these categories without treating them as venue quotations.

Welcome evening: €97 per guest

The pizza party combines vegetables from the estate’s Orto with three types of pizza. Food runs on a two-hour all-you-can-eat basis. The two-hour bar includes house wines, Prosecco, beer, soft drinks and Aperol Spritz. At 75 guests, that is €7,275.

Start the service after the main arrival wave so guests can settle into their rooms first. A small separate meal for late arrivals is more useful than beginning a two-hour party while much of the group is still traveling.

Wedding aperitivo and dinner: €256 per guest

The aperitivo includes five finger foods with house wines, sparkling rosé, soft drinks and Spritz. Dinner includes a starter, a primo, a main course and wedding cake, with house wines, sparkling rosé, beer and soft drinks. At 75 guests, the meal and aperitivo total €19,200.

The separately priced €80-per-person wedding bar provides three hours of full bar service: two signature cocktails, house wines, beer, soft drinks and cocktails using gin, vodka, rum, tequila and whiskey. At 75 guests, it adds €6,000. Time those three hours around dinner and dancing so the bar opens when guests will make the most of it.

Farewell gathering: €104 per guest

The pasta party includes three pasta dishes and seasonal garden salads. Its all-you-can-eat food service runs for three hours, while the included bar runs for two hours. The drinks selection includes house wines, Prosecco, beer, soft drinks and Aperol Spritz. At 75 guests, the total is €7,800.

Villa Lena’s flower-farm decorations start at €3,000 for the ceremony, cocktail gathering and dinner. The final flower budget depends on the quantities, arrangements and installation you choose. The starting amount is already included in the example above.

For the 2027 summer format above, we would plan approximately €140,000–€185,000, subject to the exclusions below. The model combines the €99,725 example with additional supplier and operating allowances. It assumes 75 people at each catered event. Accommodation is priced through the three-night buyout, whose 76-person basis still requires a room allocation; the model does not establish a confirmed overnight headcount.

What the model assumes

The venue’s existing approved spaces provide the wet-weather solution without a substantial marquee build. Planning and coordination are professional, photography and video are both included, and transport covers local movements rather than unlimited airport transfers.

The flower budget totals €6,000–€12,000 after combining the original €3,000 with the upgrade allowance. The music line includes any selected DJ-equipment hire, so the €800 option is not added again. The extra-meal allowance covers gaps around the main events; it is not unrestricted full board.

Exclusions and allowances to watch

The model excludes additional VAT if charged, tourist tax, any separately imposed event-space or mandatory service supplements, staff or bar overtime beyond the agreed services, and a marquee or major weather build. It also excludes off-property guest accommodation, flights, attire, rings, honeymoon costs and personal spending. These exclusions mean the range is not an all-inclusive spending ceiling.

Selected extras belong in the budget only once. Establish which tables, chairs, linens, crockery, glassware and event staff come with the catering before using the production allowance for upgrades. The same applies to flowers and DJ equipment already covered elsewhere.

This is a modeled hosting budget before guest accommodation contributions, with the exclusions above. Contributions change who pays; they do not change the underlying cost of the stay and celebration.

Up to 130 seated for the wedding dinner

Villa Lena offers up to 130 seats for a wedding dinner overall. The right layout depends on the table arrangement, service routes, bars and entertainment, and whether a dance floor remains in place during dinner. That overall figure is separate from the room-specific indoor capacity discussed below.

The estate’s three main event areas offer different settings for the weekend.

These are areas of the estate, not three separate 130-seat reception venues. The spaces used for each event are part of the agreed wedding layout.

How we would use the estate

A garden ceremony, drinks near the villa and a long-table dinner against the pink façade would make a natural sequence. San Michele provides a different atmosphere for the welcome evening or a casual gathering the following day. This is a suggested use of the spaces, not a fixed package itinerary.

The attraction is that each part feels different without turning the wedding into a day of coach transfers. Movement on foot becomes part of the experience, so the route between ceremony, drinks and dinner deserves the same attention as the settings themselves. Steps, surfaces and lighting matter for guests in heels, parents with pushchairs and relatives who tire easily.

At our preferred 60–80-guest scale, we would favor a generous dinner arrangement and suitable accommodation over filling every possible seat. At 100–130, the covered reception layout and off-property rooms become more important to the booking decision. The larger dinner offering remains an option, but it needs a different level of logistical support.

The Fattoria indoor spaces and Rain Pavilion provide the estate’s wet-weather options. A seated indoor capacity for the full 130-person wedding has not been established, so the covered layout is a material part of choosing the guest count, not simply a detail to finish later.

How a wet-weather day could work

The Fattoria ground floor is one of the estate’s identified civil-ceremony settings and a useful place to begin planning an indoor ceremony. The room arrangement still needs to suit the guest count, aisle and sightlines.

After the ceremony, guests need somewhere sheltered for aperitivo while dinner is ready. Separate ceremony, drinks and dinner areas make that transition easier. Reusing a room can also work, but introduces a reset and a period when guests need to be elsewhere. The same decision applies after dinner: retaining a dance floor from the outset creates a different layout from clearing tables later.

For the couple, the most useful document is one seated plan and running order showing the entire wet-weather day, including where guests gather during any changeover. It should also establish who makes the weather decision and when extra costs become committed.

The Rain Pavilion and additional shelter

The pavilion’s usable layout, weather protection and route to bathrooms need to suit the actual event. Its name alone does not establish a fully enclosed, weatherproof reception for every guest count.

A hired marquee or other additional structure requires venue approval and a separate budget. Permission, location and installation conditions remain to be agreed; a major weather build is excluded from the RoamRecs budget above. Choose an indoor or covered version of the day that you would genuinely enjoy, particularly for a wedding near the maximum dinner capacity.

Villa Lena is an estate stay, not a single large house. The accommodation includes 12 rooms in Fattoria, six rooms in San Michele, five Renacchi apartments, two country houses and Casetta dell’Amore. The mix lets different households choose between proximity to the main activities and more independent accommodation. It also means that bedroom and bathroom arrangements matter as much as the total number of places.

The reservation needs to name the units included in the buyout. The accommodation descriptions and walking times above explain the individual options, rather than guaranteeing every unit in every booking.

How many guests can stay?

The summer buyout is priced on a 76-person basis, while the catered example covers 75. That does not establish 76 standard adult beds or explain whether extra beds, children or the couple are included in either count. A rooming chart separating those categories is needed before allocating the whole guest list.

The practical difference is easy to see in Casetta Bella: six guests share one full bathroom and a half bathroom. That may work well for close friends or a family, but it is a different stay from three en-suite hotel rooms. Renacchi’s apartments likewise need to be assigned household by household rather than treated as interchangeable bedrooms.

Allocate for the whole weekend

Place guests who need frequent room access near the main activities, using the actual step-free routes to guide choices for anyone with mobility needs. The country houses are better suited to groups who value privacy and are comfortable with the distance. A small internal transport arrangement at the end of the night would make the outlying rooms easier to use.

The historic pink villa remains the visual centerpiece, but it should not be treated as the building where all wedding guests sleep. Artist-residency rooms should not be counted in the wedding allocation unless the booking specifically includes them.

For guests who do not fit the agreed on-estate allocation, we would use one or two accommodation hubs rather than scatter the group across small rentals. Book the room block and transport plan together.

Borgo di Colleoli Resort

This is a practical first comparison for families and friends who prefer apartment-style accommodation. The resort offers studios and larger apartments with kitchens, pools and an on-site restaurant. Check the specific bed configuration: a unit described for four may combine a double bed with a sofa bed rather than two separate bedrooms.

Allow approximately 15–25 minutes by road as a planning estimate. A single shuttle pickup point makes a block of apartments much simpler to manage.

Castelfalfi

Castelfalfi is the stronger option for guests who want a full resort stay, with rooms, suites, villas, restaurants and wellness facilities. It is particularly useful for a smaller group prioritizing hotel service and activities beyond the wedding.

Allow approximately 25–40 minutes by road as a planning estimate. Agree one pickup location rather than asking the wedding shuttle to collect from individual accommodations across the resort.

Room-block availability and group terms depend on the wedding dates. We would save Pisa and Florence for sightseeing before or after the wedding, rather than use either as a commuter base for several estate events.

These are the estate’s indicative road figures. Add baggage collection, group loading and a traffic buffer when deciding which arrivals can comfortably make the welcome party. The hotel-transfer ranges above are separate planning estimates.

The recommended approach comes via Palaia, using the Pontedera exit from the FI-PI-LI and the SP11. Send the venue’s directions alongside the map pin. Guests arriving by rail need a booked final transfer from Pontedera; the estate can arrange transfers for an additional quote.

The transport operator and venue need to agree which vehicle size can use the final approach, turn and load comfortably before a coach is reserved. For the wedding itself, an earlier return for families and a final departure matched to the party finish would serve different parts of the guest list.

Guests staying on the estate may not need a car for the organized weekend when airport or station transfers, meals and access to outlying accommodation are arranged. Those extending their trip independently can make a separate decision about driving.

Build around Villa Lena’s food operation

The 2027 event format uses Villa Lena’s own food-and-drink offering: pizza and pasta parties, aperitivo, gala dinner and a defined wedding bar. It is a coherent way to host several events without starting each catering brief from scratch.

Choose menus around seasonality and the group’s dietary needs. The hotel accommodates dietary requirements when notified in advance, so give the chef a complete list of allergies and restrictions alongside the seating plan. Children, supplier meals and people attending only some events need their own pricing; ordinary hotel child discounts should not be assumed to apply to wedding catering.

The catering agreement should identify the included tableware, furniture, linen and event staff. An outside caterer or a different drinks arrangement needs the venue’s approval rather than being treated as an interchangeable alternative.

Flowers, planning and other suppliers

The flower service offers an in-house starting point, while photography, video, music, lighting and other production need their own bookings and scope.

We would appoint an experienced planner for a multi-day celebration at this scale. That is a RoamRecs recommendation, not a confirmed compulsory-planner rule. A clear division between the events team and the couple’s planner is particularly useful here: one person needs to coordinate the guest movements, suppliers and weather decisions across the estate. Supplier choice remains subject to the venue’s current approvals.

Party timing and bar service

Villa Lena advertises celebrations without a fixed curfew, an attractive feature for couples who care about the party. That flexibility is separate from the purchased service hours: the wedding bar runs for three hours, and the welcome and farewell bars for two hours each.

The late-night agreement should bring together the music location, sound conditions, bar closing time, staff coverage and any extension costs. It then gives the DJ and transport company one workable finish to plan around. It is not a promise of unrestricted amplification or an unlimited staffed bar.

The €800 DJ-equipment option includes a professional setup, lights and a smoke machine, but not the DJ. Equipment hire and any effects need to suit the approved location.

Legally binding civil ceremonies

Villa Lena is an authorized civil-wedding location in the municipality of Palaia. Settings identified for civil ceremonies include the garden behind the historic villa and the Fattoria ground floor. That is a practical advantage for couples who prefer not to move the whole guest list to a town hall.

The registrar appointment and authorized setting are booked alongside, rather than replaced by, the venue reservation. The municipality determines the legal process, fees, documents and any interpretation requirements. These depend on nationality and personal circumstances, so arrange the legal timetable with the civil-status office before fixing travel deadlines.

Symbolic ceremonies

A symbolic ceremony gives more freedom over the script, timing and celebrant. The gardens and Fattoria spaces can support this format, with the final location chosen around the guest count and weather plan.

For couples completing the legal marriage elsewhere, it can be the simplest way to keep the estate ceremony personal without making the wedding-day timetable depend on municipal appointments.

Religious ceremonies

A religious marriage requires a separate arrangement with the relevant faith authority; civil authorization does not establish permission for a religious marriage on the estate. Couples choosing a church service should include the church booking and return transfer in the same running order as the reception.

Arrival and departure. Standard hotel guidance uses 4 p.m. check-in and 10 a.m. checkout. Wedding room-access times need their own agreement, particularly for preparations and any departure-day gathering.

Children and pets. The property welcomes children and well-behaved pets in its ordinary hospitality operation. Cots, childcare, pets at events and any additional charges belong in the wedding arrangements rather than being assumed from that general welcome.

Accessibility. The accommodation choice and event route need to work together. Assess the bedroom, bathroom, steps and surfaces the guest will actually use; being on one estate does not make every building and garden step-free.

Pools and privacy. Agree how swimming and poolside events will work, and which restaurant, pool and event areas remain private during the stay. The Foundation and the estate’s creative and agricultural activity are part of Villa Lena’s identity, so the buyout should make their relationship to the private wedding areas clear.

Detailed permissions for lighting, flames, fireworks, drones and other effects belong with the planner’s production brief. They should not be assumed from wedding photographs.

Our first choices would be late May, June or early September, depending on the balance of warmth, outdoor time and the date-specific quote. July and August suit a summer-focused stay, with a deliberate plan for the heat.

Late spring and June

This would be our starting point for an outdoor-focused wedding. June offers warmer weather and relatively low regional rainfall. May can be gentler for daytime gatherings, with more attention to evening comfort and the indoor alternative.

Leave time for guests simply to enjoy the estate. An optional workshop or relaxed lunch is a better fit for a short stay than a compulsory excursion every morning.

July and August

A later ceremony, shade and water from guest arrival, and a comfortable place to retreat before dinner would make the day easier. Monthly average highs around 30°C are not the maximum temperatures a wedding can encounter. For guests in outlying accommodation, a short shuttle can be more useful than an afternoon walk in formal clothes.

September and October

September can offer comfortable warmth, but it is not simply a cooler version of July. Regional rainfall rises substantially. October is best approached with an indoor version of the wedding you like from the outset, allowing for cooler evenings and less outdoor time.

The format has a clear rhythm: welcome party on the first day, wedding on the second and farewell pasta on the third. Friday to Monday is one possible itinerary when accepted in the booking, not a separately established tariff.

Creative and food-focused activities include workshops, pasta making, tastings and seasonal experiences. For three nights, we would choose one optional activity and protect the rest of the time for guests to relax. Activities are separate bookings, not inclusions in the €99,725 example.

An early-brunch upgrade can suit the final morning when the access schedule allows it. A late brunch is a separate meal, so it needs space and luggage arrangements beyond a standard 10 a.m. checkout, with transfers timed afterward.

What is the complete payable price for our dates and chosen events? Include the reserved accommodation and private spaces, catering counts, bar hours, taxes and mandatory charges, together with payment, cancellation, postponement and damage-security terms.
