Castello di Vicarello Wedding Guide (2027): Cost, Capacity & Everything to Know

Castello di Vicarello feels more like a country home than a conventional wedding hotel. The medieval stone buildings, individually furnished suites, olive groves and open views give the estate a personal, slightly less formal character than Tuscany’s grand Renaissance villas. You can build a whole celebration around it: a poolside welcome, a garden ceremony, dinner overlooking the hills and a party that is not automatically cut short at midnight.

The financial commitment is substantial. From May through October, the required three-night exclusive rental is €114,750, including accommodation for 24 guests. Five extra beds bring the overnight maximum to 29. For a 100-person wedding, the rental and minimum food-and-beverage commitment alone total €183,750, before flowers, entertainment, photography, transport and weather protection. Most guests will stay nearby, while the castle and villa become the home base for your closest family and friends.

Vicarello is strongest when the stay, food and party matter as much as the ceremony photograph. The castle is the backdrop, but the real appeal is having a small, characterful estate to yourselves for several days, with the same kitchen and hospitality team looking after each gathering. The in-house catering model is an advantage for couples who like the property’s food and want continuity, rather than a blank canvas for bringing in an entirely separate operation.

The setting is particularly good for a weekend that moves between different outdoor spaces. A welcome barbecue can feel quite different from dinner on the terrace or Grand Field, and a recovery brunch by the Uliveto Pool gives guests a reason to stay through the following day. Late-night flexibility is another genuine strength. It allows you to design an evening around dinner, speeches and dancing rather than rushing everything toward an early music cutoff. That flexibility has an hourly cost, which matters more than the phrase “no curfew” on its own.

Our preferred guest count is roughly 60–120. That keeps the wedding closer to the scale of the residential experience, with family in the castle and villa and other guests gathered in nearby accommodation. Around the lower end, the terrace is a possible dinner setting; larger layouts shift toward the gardens and Grand Field. The choice of dinner space, rather than the estate’s headline maximum, is what gives each version of the wedding its character.

The principal compromise is that most guests sleep elsewhere. Nearby room blocks and well-timed shuttles are therefore part of a successful Vicarello weekend, particularly when the party runs late.

The other compromise is weather. There is no published large indoor banquet capacity to match the outdoor wedding offering. A marquee can preserve the countryside atmosphere, but it belongs in the design and budget from the outset. The covered version of the celebration needs to be a version you would enjoy, too.

The economics also resist downsizing. A wedding for 24–29 people could keep everyone on the estate, but the high-season rental and €45,000 food-and-beverage floor still create a €159,750 starting commitment before extra beds and production. A very small wedding here is a choice about privacy and taste, not an economical alternative.

We would shortlist Vicarello for couples who want a private castle, a food-focused three-day celebration and the option of a genuinely late party. We would look elsewhere for a low fixed-cost venue, freedom to bring an outside caterer, a large built-in indoor reception room or a weekend where almost everyone sleeps on-site.

The exclusive rental

The rental is charged per night for the estate, with 24 overnight guests included. It is not a per-person room rate that falls when fewer people stay. The following prices include VAT.

• March, April and November: €29,580 nightly rental. €88,740 three-night rental

Three nights are required from May through October. A two-night low-season option is offered, but needs a date-specific agreement. At the same nightly rate, two nights would cost €59,160. That does not automatically reduce the three-day food-and-beverage commitment. The comparisons here use three nights in both seasons.

Moving an otherwise identical three-night stay from high to low season saves €26,010 on rental. October is still high season. Moving from September to October therefore does not reduce this line, even though the weather and daylight change.

What the rental includes

The stay includes the ten suites and two-bedroom villa, daily à la carte breakfast, twice-daily housekeeping, parking, Wi-Fi and minibar soft drinks. There is an arrival drink and a welcome kit, plus in-room coffee and tea, bathroom amenities and linen. The estate also includes access to its two main panoramic pools, walking routes and two e-bikes; Villa La Vedetta has its own private pool.

Five additional beds are available at €150 per person per night. Using all five for three nights adds €2,250 and takes the overnight group from 24 to 29. They are placed within the existing accommodation, so room allocation matters, particularly for families.

Wedding meals, drinks, planning, flowers, entertainment, event lighting and weather protection are separate from the accommodation rate. Catering does include basic tables, chairs, tableware, linens and the specified service team, which reduces the amount of equipment you need to hire separately.

Vicarello requires a food-and-beverage commitment over three days in addition to the rental. For 64 guests or fewer, that commitment is €45,000 in total. For 65 or more, it is €690 per guest.

The minimum is collected as an advance against eligible catering services, not as an extra event fee. Your chosen services count toward it; once their cost exceeds the minimum, you pay the higher service total rather than adding the minimum again. Which drinks and bar charges qualify, and what happens to any unused balance, remain contract questions.

The floor has a pronounced effect on small weddings. At 50 guests, €45,000 is equivalent to €900 per person over the three days; at 60, it is €750. Reducing the guest list below the threshold does not keep reducing the bill. The most useful response is to build a weekend that genuinely uses the hospitality you are committing to, rather than viewing the minimum as money spent solely on the wedding dinner.

Catering prices

The venue offers the following Classic and Premium services. All prices are per person and include VAT. The barbecue, pizza-and-pasta party, brunch, rehearsal dinner and wedding dinner each specify three hours of service.

The open-bar prices cover three hours, with a 50-person minimum equivalent to €4,750 for Gold or €5,500 for Platinum. Smaller parties need a separate arrangement. Wine with meals, drinks at other gatherings and service beyond the booked hours are separate considerations when choosing a weekend drinks programme.

A worked 100-person food example

A Premium welcome barbecue at €220, Classic wedding dinner at €280 and Premium brunch at €190 total €690 per person. For 100 people attending all three, that is exactly €69,000, meeting the minimum through food services alone. Adding a three-hour Gold bar for 100 brings the food-and-bar cost to €78,500, before other beverages, bar structures or extra hours. The €69,000 minimum is already accounted for.

Combined with the high-season rental, that selection totals €193,250 before the remaining wedding costs. It assumes 100 people at each meal; a family-only welcome or smaller brunch changes the menu total, subject to the agreed minimum-spend calculation.

Each scenario assumes three nights from May through October, 24 guests staying on the estate and the full wedding guest count attending a welcome meal, wedding day and recovery brunch. A restrained design, less entertainment or a lower-cost approved weather solution may reduce the total; extensive flowers, international entertainment or a more elaborate structure can take it beyond the range.

The lower food model is the €690-per-person combination described above. The upper model uses a Premium rehearsal dinner, Premium wedding dinner and Premium brunch, totaling €790 per person. Both meet the catering minimum through food alone, so the separate drinks allowance does not depend on bar charges being eligible for minimum-spend credit. Neither assumes the separately priced Premium aperitif.

The drinks allowance is €200–€325 per guest across the weekend, including a defined evening bar and beverages at the other gatherings. It is a RoamRecs estimate. Additional rentals and production cover upgrades beyond the basic catering equipment, lighting, bar structures, sound and power. Weather protection has its own allowance because the covered layout is a substantial part of this venue’s budget.

The planning allowance includes coordination, so the venue’s starting coordination fee is not added again. The operating reserve allows for late service, porterage and other operating costs that have not yet been individually priced; it is not a quoted fee for those services.

Known venue prices include VAT; the remaining supplier allowances are intended as gross cash costs. The estimates exclude off-property guest rooms, flights, airport transfers, attire, rings, honeymoon costs, extra beds, additional nights and everyday resident meals beyond breakfast and the three named events. Refundable security is separate from wedding expenditure. Unpriced mandatory charges can increase the total, so these ranges are not all-inclusive ceilings.

Vicarello’s overall wedding limit is 200 guests. Within that limit, the choice of dinner setting makes a noticeable difference: the terrace suits a smaller gathering, while the Grand Field gives a larger celebration more room. Tables, entertainment, bars and service space all affect the final seated layout.

The terrace, Vegetable Garden and Villa Chiesina figures refer to dining groups. A permanent dance floor or large stage may reduce the seated capacity. The 40-person residential dining figure is separate from the outdoor event limits and does not establish a full-wedding rain plan.

How we would use the property

For roughly 60 guests, we would explore a garden ceremony, courtyard aperitivo and a terrace dinner, keeping the transitions relatively intimate. For 80–100, we would be more inclined to use the Grand Field for dinner and keep the courtyard and terrace as distinct social spaces. Above that, the event starts to feel more like a larger outdoor production attached to a small private hotel, which can be beautiful but needs more transport and infrastructure.

Long-table dining and a separate tented party can give the evening a sense of progression, with a different setting for each part of the celebration. A marquee can be part of that intended atmosphere rather than simply a fallback. These suggested layouts involve separately priced production, not an included itinerary.

Vicarello does not publish a large indoor seated capacity that matches its outdoor wedding offering. There is a residential dining area listed for 40 and a glasshouse, but, for most weddings in our preferred 60–120-person range, we would budget for a purpose-designed covered reception unless another suitable indoor layout is agreed. Marquees are part of the estate’s event offering and appear in previous wedding setups; the approved location and capacity are specific to each event.

The important question is how the whole celebration feels in wet weather. Ceremony guests and drinks need shelter while dinner tables are already set, routes between spaces need to stay comfortable, and dancing needs a place without an awkward interruption for a room reset. A covered dinner alone does not solve those earlier and later parts of the day.

Flooring, side protection and suitable heating or ventilation are worth treating as part of the guest experience, not optional finishing touches. They determine whether the reception remains comfortable when the ground is wet, the evening cools or the air is still. The structure, installation, lighting and power also need to be included in the price.

The 100-person RoamRecs model allows €18,000–€38,000 for weather infrastructure. That is a planning estimate, not a venue or marquee quote. A more elaborate design or several separate sheltered spaces can cost more. This is the main layout to settle before booking a larger wedding here: a covered celebration you like, at a cost that works alongside the rental and catering commitment.

Who stays on the estate

The wedding arrangement includes ten suites and the two-bedroom Villa La Vedetta, with 24 standard sleeping places. Five additional beds can bring the total to 29, making the estate a home base for immediate family and close friends rather than the whole guest list at a larger wedding.

The accommodation is part of the reason to choose Vicarello. Suite Torre occupies the top of the castle tower with a private terrace; the Spa Suite offers a more secluded retreat; and Villa La Vedetta gives a family or two couples their own living space and private pool. La Vedetta’s two bedrooms have en-suite bathrooms, and the villa extends over four floors. Villa Chiesina is one of the suites, distinct from La Vedetta.

Room allocation is as much about access as size. Suite Torre has a steep staircase and is specifically unsuitable for guests with mobility restrictions. La Vedetta’s multiple levels also matter for anyone who finds stairs difficult. The best room for a parent may not be the one with the most dramatic view.

Where other guests should stay

We would start with a compact cluster around Poggi del Sasso, Cinigiano and Paganico rather than making Florence the base for a three-event weekend. Shorter transfers make it easier for guests to join the welcome evening and return for brunch. Vicarello can help arrange nearby rooms and shuttles; off-property lodging is booked and paid separately.

Grosseto is a useful broader base when guests want town services or the group needs more accommodation choice. It entails a longer journey, so we would use it selectively. At 150–200 guests, the room blocks and shuttle schedule become much larger undertakings than at an intimate castle wedding.

Food and the wedding team

All wedding catering is handled by Vicarello’s own team. Menus can be customized, and the service includes the basic equipment and staffing appropriate to the chosen format. For the dinner setup, the available basic selection includes rectangular or round tables, linen, tableware and the venue’s chair options; alternative designs carry supplements.

That arrangement works particularly well when food is one reason you like the property. The kitchen draws on the estate’s vegetable gardens and local ingredients, and meals can form a coherent thread through the weekend. It is less suitable for a couple whose priority is bringing a favorite outside caterer or running an entirely independent food-and-drink operation.

Vicarello offers planning and coordination from €3,050. A full destination-wedding planning brief is broader than that starting price: it may also need to cover accommodation, transport, supplier contracts, budget management and assistants across several days. 

Lighting is the clearest additional supplier restriction: the in-house service is compulsory for specified events. The estate also provides event porterage to move equipment and décor across the property. Its historic layout and terrain make that work important, even when the finished wedding looks effortless.

Late-night flexibility and what it costs

Vicarello offers celebrations without a fixed venue curfew, including dancing into the early morning. That gives a long dinner room to unfold without rushing the speeches or party. The finish time and sound conditions are still part of the agreed event schedule, and extended staffing and service cost extra.

Rates include VAT.

Using full hours, the midnight-to-3 a.m. extension calculates to €2,100; continuing to 4 a.m. makes it €2,900. These are the published late-service components only. The agreement needs to establish whether individual staff overtime is additional, and the figures do not buy extra band or DJ hours, unlimited drinks or additional transport.

More than one return shuttle works well here: an earlier departure for families and anyone ready to leave, followed by a final service matched to the party finish. Having that last transfer booked lets guests enjoy a late evening without arranging a rural taxi afterward.

Symbolic ceremonies

Symbolic ceremonies can take place within the castle setting or in the gardens. This is the most flexible choice for couples who want to shape the timing, words and setting around the celebration. It also avoids making the reception layout dependent on the availability of a legal registrar.

Civil ceremonies

Civil ceremonies are offered on the estate, with the legal arrangements handled through the Comune di Cinigiano. The authorized space, registrar availability and paperwork are a separate part of the booking, specific to your date and circumstances. Couples who want a particular ceremony location or hour should arrange it alongside the venue reservation.

Catholic ceremonies

The nearby church options include Chiesa di Santa Maria in Campagnatico, Santuario della Madonna di Val di Prata in Monticello Amiata and Pieve di San Donato in Porrona. A church ceremony adds a transport movement before the reception, so the ceremony and aperitivo timings should be designed together. Religious permission and the church booking are separate from hiring the estate.

Movement around the property

Vicarello’s historic hillside layout includes lawns and changes of level. The routes between the bedroom, ceremony and reception matter as much as room access, particularly for guests with reduced mobility. The room-specific stair considerations are described in the accommodation section.

An accessible plan needs to work from vehicle drop-off through the bedroom and bathroom, ceremony, drinks, dinner and return journey. For some groups, fewer changes of location will make the day more comfortable than trying to use every setting. A flat reception floor helps only when the approach to it is manageable too.

Castello di Vicarello is in southern Tuscany, near Poggi del Sasso rather than Florence or central Chianti. The final approach is rural and includes an unpaved section. That seclusion is part of the appeal, but it changes how guests should arrive and how late-night departures should be organized.

These are rounded planning allowances, not live journey times. Add airport formalities, luggage collection, group loading and any stops separately. Flight convenience matters more than selecting an airport solely from a small difference in headline driving time.

For rail arrivals, Grosseto is a useful transfer hub; Civitella-Paganico is another option where the train itinerary works. Neither delivers guests to the castle itself. A booked final transfer is preferable to expecting a car to be waiting at a rural station. Guests using the train should choose the actual connection first, then coordinate the pickup.

Guests staying mainly for the wedding can manage without a rental car if airport or station transfers and event shuttles are organized. Those extending the trip to explore the countryside independently may prefer their own car. We would not combine self-driving with the expectation of participating in a long wine-focused reception.

The rural approach makes vehicle choice important. Coach access and turning capacity are not established in the wedding information, so the transport operator and estate need to agree suitable vehicles and a loading point before shuttles are booked. Self-driving guests should receive the venue’s arrival directions as well as the map pin, especially for arrivals after dark.

Our first choices would be late May, June or September. They suit the estate’s outdoor dining and slower daytime gatherings without making peak-summer heat the defining guest experience. They all carry the same high-season rental rate, so the choice is primarily about conditions and atmosphere rather than a cheaper nightly tariff.

July and August are the hotter, generally drier part of the regional calendar, with typical summer daytime highs in the low 30s Celsius and rainfall increasing into autumn. 

For midsummer, we would favor a later ceremony, shaded waiting areas, easy access to water and a relaxed daytime schedule. A marquee can solve rain exposure but still needs to be comfortable in heat. September often offers a more forgiving daytime rhythm, although evenings shorten and weather protection remains part of the plan.

April is the clearest spring rental-value option. The three-night rental is €26,010 below high season, but that saving should be weighed against the covered layout and any heating or extra flooring. October can be attractive for an autumn celebration, yet it still costs €38,250 per night. November is lower-priced again, but is a much stronger argument for an indoor-first or comprehensively sheltered design, not an inexpensive version of a midsummer lawn wedding.

A three-night stay can comfortably hold three different celebrations without turning every hour into an organized event. We would give guests a reason to arrive in time for the welcome evening and enough breathing room to enjoy the estate afterward.

• Arrival day: Check-in and time to settle, followed by a welcome barbecue or pizza-and-pasta party. Keep the first event relaxed after travel
• Wedding day: A slow breakfast and preparations, then a garden ceremony, courtyard or terrace aperitivo, dinner and a planned late-night party

• Departure day: Breakfast and departures, aligned with the agreed checkout and supplier collection arrangements

This suggested programme is built from separately selected events. A recovery brunch for 100 guests is a catered gathering, distinct from the breakfast included for the 24 residents. Menus, attendance and service hours shape how each day is priced.

Cooking classes, wine tastings, biking and massages fit the setting well, while an outdoor movie night can be an appealing addition after the welcome meal. A barbecue at the private reserve, La Valle di Buriano, is another option, with its separate location and arrangements to be priced individually. Fixed activity prices are not published in the wedding schedule.

We would resist filling a short stay with long excursions. The more time the closest family and friends actually spend at Vicarello, the more sense the residential buyout makes. Guests who want a substantial sightseeing trip can add it before or after the wedding.

Before committing, we would focus the venue conversation on three questions: What is the total for our dates and event programme? Where does the whole wedding go in wet weather? Which nearby rooms and shuttles will make the weekend comfortable for our guests?

The booking offer should bring those answers together with the minimum-spend calculation, included spaces, operating hours and payment terms. That is the basis for choosing Vicarello as a private-estate weekend, with its particular strengths and compromises, rather than comparing the nightly rental in isolation.

Villa La Selva: more of the group staying together
