Privacy Policy

At RoamRecs, your privacy is a priority. This Privacy Policy explains how we collect, use, and protect your information. Also see Terms of Service and Community Guidelines.

By using RoamRecs, you agree to the collection and use of information in accordance with this Privacy Policy.

1. Introduction

RoamRecs, Inc., a Delaware corporation ("RoamRecs," "we," "us," or "our"), is the controller of your personal information. Your privacy is a priority. This Privacy Policy explains how we collect, use, and protect your information when you use our website or mobile application.

2. Information We Collect

We may collect the following types of information:

2.1 Personal Information

Your name, email address, phone number, and any other details you provide when creating an account or using our platform — for example when you fill in an enquiry form for a wedding venue. The separate, optional phone number you can add in our mobile app so that friends can find you is handled differently: see Section 2.8.

2.2 Usage Data

Information about how you use RoamRecs, such as pages visited, features used, and actions taken within the app.

2.3 Device Information

Your IP address, browser type, operating system, and device type.

2.4 Messages & Communications

If you use our direct messaging feature, we collect and store the messages you send and receive, including their text, any recommendations or collections you share, and related information such as timestamps, read/delivery status, typing and online-presence signals, reactions, and whom you have blocked. If you report a message or user, we also store the report and a copy of the reported content. Messages are stored on our systems and are not end-to-end encrypted.

2.5 Payment & Purchase Information

When you buy one of our paid features, we record the purchase: which product it was, the amount and currency, the date, the RoamRecs account it belongs to, and the reference our payment processor gives us for the transaction (such as a Stripe checkout session or payment intent ID, or the store transaction reported to us for an in-app purchase). We keep this so we can switch on what you paid for and so refunds and disputes can be reconciled.

We do not collect or store your card number, security code, or full billing address. Those are entered directly with Stripe and never reach RoamRecs' servers. If you buy inside our iOS or Android app, Apple or Google handles the payment and we receive only confirmation that a purchase or refund occurred.

2.6 Wedding Concierge Conversations

If you use the Wedding Concierge, we store a record of the conversation — the questions you ask and the answers the Concierge gives — together with your account ID, the name and email address on your account, the page you arrived from, and information about how the answer was produced. We use these records to run and improve the feature, to investigate problems, and to understand what couples are asking for. They are accessible to RoamRecs staff.

We also keep usage counters for your account: how many free answers you have used, when you last asked something, and whether you have paid. For free answers only, we additionally store a one-way hashed form of your IP address. Hashing lets us count free answers coming from one network, so the free answer cannot simply be farmed by making new accounts, without us keeping the address itself.

Your questions are also sent to third-party AI providers to generate the answer. Section 5 explains this.

2.7 Contacts

RoamRecs includes an optional "Find Friends" feature that helps you discover which of your existing contacts already use RoamRecs. This feature is off by default and runs only if you choose to turn it on.

If you enable it, RoamRecs reads the email addresses and phone numbers stored in your device's address book and converts each one into an irreversible cryptographic hash (SHA-256) on your device. Only these hashes are transmitted to RoamRecs servers, where they are compared against hashes of registered RoamRecs users in order to identify people you may already know.

The names, email addresses and phone numbers of your contacts are never transmitted to RoamRecs in readable form and are never stored on our servers. The hashes we receive are used solely to perform this match, are not retained once the match is complete, and are never sold, rented, shared with third parties, or used for advertising.

While you have contacts access enabled, RoamRecs may repeat this match periodically (approximately every twelve hours) so that friends who join RoamRecs after your first scan can be surfaced to you. The same protections apply to every match.

You can revoke contacts access at any time in your device settings (Settings › RoamRecs › Contacts). On iOS you may also choose to share only selected contacts rather than your full address book.

2.8 Your phone number (optional)

You may choose to add your own phone number so that friends who have you saved in their address book can find you on RoamRecs. Your number is hashed on your device before it is sent to us. We store only those hashes, together with the last four digits of your number — the last four digits are displayed back to you in Settings so you can recognise which number is on your account.

We never receive or store your full phone number. Adding your number is entirely optional, and you can remove it at any time in Settings. Removing it deletes the stored hashes and stops you from being discoverable by phone number immediately.

3. How We Use Your Information

We use your information to:

(a) Provide, operate, and improve the RoamRecs platform; (b) Personalize your experience and recommendations; (c) Communicate with you about account activity, updates, and promotions; (d) Ensure the security and functionality of the app; (e) Process payments, fulfill and reconcile purchases and refunds, and support you when something goes wrong with one; (f) Generate answers in AI-powered features such as the Wedding Concierge; (g) Prevent fraud and abuse of free features, including applying free-use limits and rate limits.

Our legal bases for processing personal information may include your consent, performance of a contract, compliance with legal obligations, and our legitimate interests in operating, maintaining, and improving the Platform.

We may use referral identifiers or tracking parameters to understand when users engage with third-party booking links and to measure platform performance. If you interact with third-party booking links, those third parties may collect information directly from you in accordance with their own privacy policies.

We use messaging data to deliver your messages, show read and presence indicators, and operate features such as blocking and reporting. To keep the community safe, we may review messages that are reported to us, and we may access message content where necessary to enforce our Terms of Service and Community Guidelines, respond to support requests, or comply with law.

4. Sharing of Information

We do not sell your personal information. We share it with service providers who process it on our behalf, and only to the extent they need it to do their job for us:

  • Google Firebase — sign-in, database, file storage, and hosting for the Platform.
  • Google Analytics — website analytics, and only if you consent (see Section 6).
  • Stripe — payment processing for purchases made on our website. You give Stripe your payment details directly, and Stripe handles them under its own privacy policy.
  • RevenueCat — confirming and reconciling purchases made inside our mobile apps.
  • Apple and Google — where you buy inside our iOS or Android app, that store processes the payment under its own privacy policy.
  • Anthropic and OpenAI — the AI providers that generate answers in the Wedding Concierge and other AI features (see Section 5).
  • Stay22 and booking partners — where you follow a booking or affiliate link.

We may also disclose information where the law requires it, where it is necessary to enforce our Terms of Service or protect the safety of our users, or in connection with a merger, acquisition, or sale of assets — in which case we will tell you.

Your data security matters. We partner only with trusted service providers who meet our privacy and security standards.

5. Artificial Intelligence Features

Some RoamRecs features are powered by artificial intelligence, including the Wedding Concierge and our trip-planning tools. To answer you, we send your request to a third-party AI provider — currently Anthropic and OpenAI — which generates a response and returns it to us.

What we send is the text of your question, the earlier messages in that conversation, and the RoamRecs content needed to answer it. We do not include your name, email address, or account identifier in what we send to the AI provider.

We use these providers through their business APIs. Under the terms those APIs are offered on, content we submit is not used to train their models. Each provider may retain the request briefly for abuse monitoring in line with its own policies.

Two things worth knowing. First, AI-generated answers can be inaccurate or out of date — Section 9 of our Terms of Service explains what that means for how much you should rely on them. Second, please do not type sensitive personal information into these features, such as financial account details, government identification numbers, or health information.

6. Cookies & Tracking Technologies

We and our service providers use cookies and similar technologies (such as browser local storage) for two purposes:

Strictly necessary cookies. These keep you signed in and allow core features to work. We use Firebase Authentication to manage your session, which stores information in your browser so you don't have to log in on every page. The Platform cannot function properly without these, so they are not subject to consent.

Analytics cookies. With your consent, we use Google Analytics to understand how visitors use RoamRecs so we can improve it. These are only set after you accept them via our cookie banner. If you decline, analytics cookies are not used. You can change your choice at any time by clearing your browser's site data for RoamRecs, which will prompt the banner again.

Third-party sign-in. You can create an account or log in using Google or Apple. When you do, that provider authenticates you and shares limited profile information (such as your name and email) with us to create your account, in accordance with their own privacy policies. If you use Apple's "Hide My Email" feature, Apple provides us with a private relay email address instead of your personal email, and messages we send are forwarded to you through Apple.

7. Data Security

We use appropriate technical and organizational measures to protect your information, and we work only with service providers who meet our privacy and security standards. No system is perfectly secure, so we cannot guarantee absolute security.

Messages are stored on our systems and are not end-to-end encrypted. Deleting a message or conversation removes it from your view, but a copy may remain available to the other participant and may be retained by us for a period for safety, security, or legal purposes.

8. How Long We Keep Information

We keep personal information only as long as we need it for the purposes described in this policy, unless a longer period is required or permitted by law. In practice:

  • Account information — for as long as your account is open.
  • Messages — as described in Section 7.
  • Purchase and payment records — for at least seven years after the transaction, because tax, accounting, and payment-dispute rules require us to keep them. We keep these even if you close your account (see Section 9).
  • Wedding Concierge conversations and usage counters — while your account is open and while they remain useful for running the feature and preventing abuse of free answers.
  • Contact identifiers (hashed) — collected only if you turn on Find Friends, and not retained once the match is complete. We keep only anonymous aggregate counters, such as how many matches were run in total, which are not linked to you or to your contacts (see Section 2.7).
  • Your own phone number (hashes and last four digits) — for as long as you keep a phone number on your account. Removing it in Settings deletes them (see Section 2.8).
  • Analytics data — according to the retention period set in Google Analytics.

9. Data Protection Rights

If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, you have certain rights under applicable data protection laws. These may include the right to access, correct, or delete your personal information, the right to object to or restrict certain processing, and the right to request data portability.

You may exercise these rights by contacting us at contact@roamrecs.com. We may require verification of your identity before responding to such requests.

One limit on deletion is worth being upfront about: where you ask us to delete your information, we will, except for records we are legally required to keep. In practice this means purchase and payment records, which tax and accounting rules oblige us to retain (see Section 8). In that case we keep the transaction record itself and delete the rest.

10. International Data Transfers

Your information may be transferred to, stored, and processed in the United States or other countries where RoamRecs or its service providers operate. These countries may have data protection laws that differ from those in your jurisdiction.

11. Your Choices

You can update or delete your information by logging into your account. You may also opt out of promotional emails through unsubscribe links or by contacting us at contact@roamrecs.com.

12. Children's Privacy

RoamRecs is not intended for individuals under the age of 18. We do not knowingly collect data from children.

13. Changes to This Policy

We may update this Privacy Policy as needed. If we make material changes, we will notify users and update the "Effective Date" at the top of this page.
