These Partner Terms apply when your business is featured on RoamRecs. You accept them when you approve your listing from your partner dashboard, or when you otherwise take part in the partner programme.
1. About These Terms
These Partner Terms are an agreement between the business you represent ("you") and RoamRecs, Inc., a Delaware corporation ("RoamRecs," "we," "us"). They apply to venues and wedding vendors — such as photographers, content creators, planners and others — featured on RoamRecs as Destination Partners. Our Terms of Service also apply; where the two differ on something specific to the partner programme, these Partner Terms govern. By accepting them you confirm you are authorised to do so for your business.
2. Your Listing
We create your listing from the information you give us, and you can change it at any time from your partner dashboard; changes go live straight away. We may edit a listing for length, clarity or accuracy, or to keep it consistent with the rest of RoamRecs, and we keep a record of changes made to it.
Your listing appears, labelled “Featured partner” (or “Featured venue”), on RoamRecs pages about the destinations we place you in — for example our wedding guides, destination pages and collections, and beside the Wedding Concierge. We choose those destinations and placements, may change them, and decide how listings are shown and ordered; where several partners appear together, their order rotates. We do not guarantee any particular position, page or number of views. Featured placement does not affect our editorial content, and the Wedding Concierge does not name partners in its answers.
3. Your Content
You keep ownership of the text, photos, videos, logos and other material you provide for your listing ("your content"). You grant RoamRecs a non-exclusive, worldwide, royalty-free licence to host, display, reproduce, resize, crop and format your content on the Platform, and to use it to promote your listing and the partner programme, while you are a partner and for a reasonable period afterwards to remove it.
You confirm that:
- you own your content or have permission to use it this way, including from photographers and other creators;
- anyone identifiable in your photos or videos — including couples and guests — has agreed to it being used to promote your business;
- what your listing says about your services, prices and packages is accurate and not misleading, and you will keep it up to date.
If someone tells us your content infringes their rights or is inaccurate, we may remove it. You agree to reimburse RoamRecs for reasonable costs arising from a claim that your content infringes someone else’s rights.
4. Free Trial
New partners may be offered a free trial, usually three months (90 days) from the day you approve your listing. You will not be charged during the trial and we do not ask for payment details for it. When the trial ends, your listing and profile page stop showing automatically unless you have agreed with us to continue on a paid plan. There is no automatic charge at the end of a trial.
5. Paid Plan
If you continue after a trial, the price and billing period are the ones we agree with you in writing (for example, by email) before you are charged. Unless we agree otherwise, a paid plan renews each billing period until you cancel, and you can cancel at any time; cancellation takes effect at the end of the period you have paid for, and we do not refund part-periods except as set out in Section 9. We may change the price of a plan with at least 30 days’ notice by email; the change applies from your next billing period after that notice, and you can cancel before it takes effect.
6. Enquiries and Couples’ Details
When couples ask to hear from you, we review each enquiry and pass it on through your dashboard, and by email if you have alerts switched on. We may decline to pass on enquiries that look like spam, are incomplete or are not genuine. We do not guarantee any number, quality or outcome of enquiries, or that any enquiry will lead to a booking.
When you receive a couple’s details, you agree to:
- use them only to respond to that couple about their wedding;
- not add them to marketing lists, sell or share them, unless the couple separately agrees;
- respond honestly and professionally, and stop contacting a couple who asks you to;
- keep them secure, comply with the data protection laws that apply to you, and delete them when you no longer need them or when the couple asks.
Once you receive a couple’s details, you are responsible for how you use them. Any contract, booking, deposit or payment is between you and the couple; RoamRecs is not a party to it and does not act as an agent for either of you.
7. Your Dashboard Link
Your partner dashboard is reached through a private link. Anyone with the link can see your enquiries, including couples’ contact details, and can edit your listing, so keep it confidential and share it only with people in your business who need it. If it is shared by mistake, tell us and we will replace it; the old link stops working straight away. You are responsible for changes made through your link.
8. Results and Statistics
Your dashboard and results emails show how often your listing was seen, opened and clicked. These figures are counted automatically and are approximate: they can be affected by ad blockers, automated traffic and other factors outside our control. They are provided for information, and are not a guarantee of results or a basis for billing unless we agree otherwise in writing.
9. Pausing or Removing a Listing
We may pause, change or remove your listing, or end your participation, if your content or conduct breaches these Partner Terms or our Terms of Service, if we receive credible complaints from couples, if information on your listing turns out to be inaccurate, or if we need to in order to protect couples or the Platform. Where reasonable, we will tell you first and give you the chance to fix the problem. If we remove a paid listing for a reason other than your breach, we will refund the unused part of any period you have paid for.
10. Ending the Partnership
You can end your partnership at any time by messaging us from your dashboard or emailing contact@roamrecs.com. We can end it with notice to you. When it ends, we remove your listing and profile page within a reasonable time. Sections 3 (as to past use and claims), 6, 11 and 12 continue to apply, and we keep records as described in our Privacy Policy.
11. Disclaimers and Liability
The partner programme is provided “as is.” To the fullest extent permitted by law, RoamRecs is not liable for any indirect or consequential loss, or for loss of profits, revenue or bookings, arising from the partner programme. Our total liability to you for all claims relating to it will not exceed the greater of the amount you paid us in the twelve months before the claim arose, or US $100. Nothing in these Partner Terms limits liability that cannot lawfully be limited.
12. General
These Partner Terms are governed by the same law and venue as our Terms of Service. We may update them; if we make material changes we will tell you by email or on your dashboard at least 14 days before they take effect, and you can end your partnership before then. Continuing as a partner after that means you accept the updated terms. You are an independent business; nothing in these terms makes you RoamRecs’ employee, agent or partner in the legal sense.
